Netcob ("we", "our", "us") operates the email hosting service at netcob.com. This policy describes how we collect, use, and protect your information.

1. Information We Collect

When you use Netcob, we collect:

• Account information: Your name, email address, and payment details when you sign up.
• Email data: The emails you send, receive, and store on our servers as part of the email hosting service.
• Domain information: Domain names you configure for use with our service.
• Usage data: Server logs including IP addresses, connection timestamps, and protocol-level metadata necessary to operate the email service.

2. How We Use Your Information

We use your information exclusively to:

• Provide and maintain the email hosting service.
• Process payments and manage your subscription.
• Send transactional communications (account confirmations, password resets, billing receipts, security alerts).
• Monitor and prevent abuse, spam, and unauthorised access.
• Comply with legal obligations.

We do not sell, rent, or share your personal information with third parties for marketing purposes. We do not scan your email content for advertising.

3. Email Privacy

Your emails are encrypted at rest using OpenPGP. We do not read, analyse, or mine the content of your emails. Access to email data is restricted to automated systems necessary to deliver and store your messages.

4. Data Storage and Security

• Email data is stored on servers located in Europe (Hetzner Cloud, Germany).
• All connections are encrypted with TLS (Grade A rating).
• Emails are encrypted at rest using OpenPGP.
• Automated encrypted backups are performed daily.
• Two-factor authentication is available for all accounts.
• Access to infrastructure is restricted to authorised personnel only.

5. Third-Party Services

We use the following third-party services to operate Netcob:

• Amazon SES: Outbound email delivery relay. Subject to AWS Privacy Policy.
• Cloudflare: DNS management and content delivery. Subject to Cloudflare Privacy Policy.
• Stripe: Payment processing. Subject to Stripe Privacy Policy.

We only share the minimum information necessary for these services to function (e.g., email addresses for delivery, payment details for billing).

6. Data Retention

We retain your email data for as long as your account is active. If you delete your account, we will delete your email data within 30 days. Encrypted backups containing your data may persist for up to 90 days after deletion due to backup retention cycles.

7. Your Rights

You have the right to:

• Access your personal data stored by Netcob.
• Export your emails using any standard IMAP client at any time.
• Correct inaccurate personal information.
• Delete your account and associated data.
• Object to processing of your data in certain circumstances.

8. Cookies

The Netcob website uses only essential cookies required for authentication and session management. We do not use tracking cookies, analytics cookies, or third-party advertising cookies.
